Society Summit 2009

Calling all Societies! The annual Society Summit is scheduled for Friday, September 25,2009 and will be held in Burke Theatre A and begin at 11 :30am. This Society Summit is mandatory for all societies to attend and those societies that do not attend may not be eligible for ratification by the SMUSA Board of Directors. All societies are required to have a minimum of one Executive Member / Board Member present. Please RSVP to the SMUSA Society Coordinator 496-8709 or societv.coordinator@smusa.ca by September 24,2009.

Societies that intend to seek ratification must submit to SMUSA a "Request for Ratification" form complete with an attached membership list. The membership list should include names and student ID numbers. The ratification form must also be accompanied by a society constitution. There is a constitution template available on
the SMUSA web site if you would like to use it but regardless; your society must not have a purpose that conflicts with the SMUSA Mission and Vision. Ratification forms are available at SMUSA.ca or can be picked up at the. SMUSA main office on the 5th floor Stqdent Centre. The first meeting of the SMUSA Board of Directors is
September 25, 2009 so if you would like to be on the agenda for ratification we ask that you have your forms submitted by end of day Wednesday, September 23, 2009. The next opportunity to ratify your society will be at any subsequent SMUSA Board of Directors meeting and they will be held every 2 weeks. The deadline to submit requests for ratification for the 2009 / 2010 academic year is January 15, 2010.

Within the Society Summit agenda you will see a section called SERM (Student Event Risk Management) which begins at 1:30pm. This session is mandatory for any society leader who w:ill be responsible for organizing events on behalf of the society. Event organizers are called Primary Event Organizers (PEO's) and must have participated in this session in order to be authorized to organize events on behalf of the society. SMUSA will maintain a list of authorized PEO's. If society leaders are not able to participate in this session on September 25th then SMUSA will offer subsequent PEO sessions at the end of October and the end of January. You must have participated in the session to be a PEO and only PEO's can organize society events.
