Poster Policy

This poster policy was established by the Saint Mary's University Students’ Association in an effort to limit all posters and flyers placed on campus. There are designated General Bulletin Boards (non-departmental), thereby eliminating unsightly cluttered walls. The Policy will also prohibit external businesses that offer services that are in direct conflict or competition with services currently offered on campus.

This policy attempts to regulate the quantity and nature of posters that are hung throughout the campus, without jeopardizing a valuable means of communication with the students and university community.

POSTER POLICY:

All posters that are placed on the Saint Mary's University campus by internal and external groups must be authorized with a stamp that is issued from the following locations:
- Student Centre, 1st Floor, Information Desk
- Student Centre, 5th Floor, SMUSA office
- Student Centre, 5th Floor, Marketing Department

External Advertising:

Approved posters sized 11”x 17” (ledger) and smaller can only be placed on General Bulletin Boards. All approved posters must contain an authorization stamp that has a removal date for either the day after the event has taken place or fifteen (15) days. These posters will be stamped in red ink and are not to be photocopied. External advertisers are limited to a thirty (30) posters per person limit.

Internal (SMU and SMUSA) Advertising:

Approved posters sized 11”x 17” (ledger) and smaller can only be placed on General Bulletin Boards. All approved posters sized to 11”x 17” to 3’x 5’ may be placed on unpainted brick surfaces. All approved posters must contain an authorization stamp that has a removal date for either the day after the event has taken placed or fifteen (15) days. A request for the authorization period of more than fifteen (15) days is at the discretion of SMUSA. These posters will be stamped in red ink and are not to be photocopied. Posters that are sized 11” x 17” (ledger) and approved by SMUSA are to be placed on unpainted brick surfaces, in a neatly and organized fashion. Internal posters that are less than 11”x 17” are limited to a thirty (30) posters per person limit. Posters that are sized 11”x 17” (ledger) are limited at twenty (20) and posters sized 3’x 5’ are limited to five (5) per person.

Saint Mary's University and SMUSA are not responsible for posters or flyers that have been removed by other students.

The following bulletin boards shall be considered General Bulletin Boards and, thus, are for general use only: (8.5” x 11” to a max of 11” x 17”)

Posters placed on departmental bulletin boards require the approval of the appropriate department.

Posters shall not be placed on any windows, doors, painted surfaces, in stairwells or any trees.

ANY POSTERS OF THE FOLLOWING CATEGORIES WILL NOT BE AUTHORIZED:

1. Advertising off-campus liquor establishments or other events which, in the opinion of SMUSA, are in direct competition with on-campus activities.
2. Advertising off-campus services that are indirect competition to those services offered on-campus and/or are in conflict with current SMUSA agreements.
3. Any poster which could damage the reputation of the University community.
4. Posters which do not comply with the Nova Scotia Alcohol and Gaming Authority’s regulations and policies.

Posters that are outdated will be removed by authorized Students’ Association representatives and or Facilities Management.

REMOVAL OF POSTER PERIODS

Three (3) times during each calendar year are designated as Removal Periods whereby all posters and brochures will be removed from the General Bulletin Boards and University walls by Facilities Management. The three (3) removal periods are:
1. Pre-convocation (Spring and Fall)
2. Pre-Labour Day
3. Christmas Break

Any person removing posters without proper authorization is subject to disciplinary action from Saint Mary's University and the Students’ Association.

BANNER POLICY

This is for posters that are sized 11” x 17” (ledger size) to the maximum of 3’x 5’

Only SMUSA and Chartered Societies of the Saint Mary's University Students’ Association may hang posters or banners on unpainted brick surfaces. These posters must be approved by SMUSA and stamped in red ink to verify the approval.

This rule also applies to posters advertising Students’ Association elections, bi-elections, referendums, events, activities and student campaign posters.

In order to protect wall surfaces, only masking tape can be used. Under no circumstances shall glue or duct tape be used.

This policy will be jointly administered by the Saint Mary's University Students’ Association and Saint Mary's University, Facilities Management.
